Head committee

 Responsibilities:

  1. Planning and producing appropriate gathering of Filipino Roman Catholic Priests in the USA to be held on October 27-30, 2018.
  2. Managing all aspects of the process and ensuring the accomplishment of overall goals before, during and after the event.
  3. Keeping everyone informed on the progress of the planning.
  4. Holding daily coordination meetings during the event.
  5. Membership on the Head Committee includes the Leadership Council and the chairpersons of each committee planning the event.

 

Program/Communications/Media Committee

Responsibilities:

  1. Developing the registration packet and the program guide book.
  2. Creating a program plan (plenary session, workshops/dialogue sessions).
  3. Contacting/Contracting/Orienting speakers or facilitators.
  4. Creating a program schedule/script including audio-visual aids required by the speakers.
  5. Managing implementation of the program plan including availability of audio-visual aids.
  6. Providing publicity about the event prior to and during the event.
  7. Creating/Accessing all needed media.
  8. Preparing a media kit.
  9. Maintaining contact with the Leadership Council as to the specifics of the program.

Sub-Committee: Website

  1. Creating a Website for the event.
  2. Creating stories on the web.
  3. Development and management.

 

Prayer/Liturgy Committee

Responsibilities:

  1. Planning and organizing liturgies and prayer opportunities throughout the event.
  2. Developing a local prayer/liturgy team who can gather liturgical aids and assist in setting up the environment.
  3. Coordinating, training and equipping prayer leaders and choirs or musicians.
  4. Seeking copyright permissions and prepares a liturgy guide booklet.
  5. Identify and contact Presiders for Masses and prayers.
  6. Maintaining contact with the Leadership Council as to the specifics of the program.

 

Hospitality/Social Committee

Responsibilities:

  1. Designing events that are particularly helpful for welcoming, networking, entertaining, and relaxing.
  2. Designing and gathering the participants’ packet.
  3. Welcoming participants upon arrival and during registration.
  4. Designing a transportation plan for speakers and special guests in collaboration with the Program Committee.
  5. Maintaining contact with the Leadership Council as to the specifics of the program.

 

Environment Committee

Responsibilities:

  1. Planning and designing the exhibits/display area.
  2. Providing assistance to groups in setting up exhibits.
  3. Developing guidelines for exhibits based on the purposes of the event and requirements of the host (Arch) diocese.
  4. Planning and preparing environment for liturgies, plenaries and other meeting spaces.
  5. Assisting in dismantling materials from the area.
  6. Maintaining contact with the Leadership Council as to the specifics of the program.

 

Administration/Logistics Committee

Responsibilities:

  1. Identifying and contracting venue and complete meal package for the event.
  2. Identifying and contracting bus service if required.
  3. Ensures the production/printing of the registration packet, the program guide and the liturgy aid.
  4. Facilitates shipment of all materials.
  5. Managing registration process of participants and site registration upon arrival.
  6. Ensuring timely collation and distribution pf participants’ packets.
  7. Working with venue coordinator in assigning and preparing spaces including signage for liturgies, meetings, meals, receptions.
  8. Maintaining contact with the Leadership Council as to the specifics of the program.

 

Development/Finance Committee

Responsibilities:

  1. Identifying and evaluating potential donors.
  2. Preparing a target solicitation list with updated names and addresses and soliciting some prospective donors and prepare solicitation guidelines.
  3. gathering camera-ready advertisements from donors and submitting these to Communications/Media Committee.
  4. The Treasurer collects and accounts for income and expenditures.
  5. (The Treasure) Issuing checks for payment or stipends to contractors/celebrants (hotel, caterer, speakers, bus company, florist, choirs, etc.)
  6. Preparing a financial statement during the Leadership Council meetings.
  7. Maintaining contact with the Leadership Council as to the specifics of the program.
